Job Description

Permanent Full time (40hr/week) Starting ASAP for an: Administrative Assistant position at TS Signs. We provide Sign manufacturing, printing, engraving and promotional service located in Fort McMurray, AB. Languages English Education College, CEGEP or other non-university certificate or diploma from a program of 3 months to less than 1 year or equivalent experience Experience 7 months to less than 1 year On site Work must be completed at the physical location. There is no option to work remotely Benefits Packages offered Full benefits package offered including extended health benefits Tasks - Coordinate and arrange seminars, conferences, and events by booking venues, preparing materials, sending invitations, and ensuring smooth execution of all logistics. - Open, review, and distribute incoming mail and packages, routing them to the appropriate staff or departments in a timely manner. - Plan and organize daily office operations by prioritizing tasks, monitoring deadlines, and ensuring that workflow is maintained efficiently. - Record accurate minutes during meetings, seminars, and conferences, then prepare and distribute them to participants for reference and follow-up. - Develop and implement office procedures and routines to ensure consistency, productivity, and compliance with organizational standards. - Schedule and confirm appointments, manage calendars, and coordinate availability across multiple teams and departments. - Prepare, review, and oversee contracts, ensuring accuracy, compliance, and proper documentation of agreements. - Answer and route incoming telephone calls, provide clear information, and relay messages promptly and professionally. - Respond to electronic inquiries, including email and online requests, with accuracy and professionalism to maintain effective communication. - Assist in the development of communication strategies by preparing drafts, coordinating with departments, and supporting implementation. - Compile and analyze data, statistics, and reports, presenting findings clearly to support decision-making by management. - Provide administrative advice and support to senior management, assisting with planning, organization, and execution of initiatives. - Order office supplies, monitor inventory levels, and maintain stock to ensure that day-to-day operations run smoothly. - Draft, type, and proofread correspondence, reports, and forms to maintain accuracy and professional standards in documentation. - Enter data accurately into company systems, maintaining up-to-date and organized digital records. - Collaborate with the marketing department to understand promotional goals and communicate marketing messages effectively to staff and clients. - Maintain and manage digital databases, ensuring records are accurate, secure, and easy to access. - Perform basic bookkeeping tasks such as recording financial transactions, preparing invoices, and monitoring expenses. - Consult with clients after sales to provide ongoing support, resolve issues, and strengthen long-term business relationships. - Conduct staff performance reviews by assessing productivity, providing constructive feedback, and recommending professional development. - Evaluate workplace environments, policies, and programs to identify risks, recommend improvements, and ensure compliance with health and safety standards. - Supervise and coordinate office staff and volunteers, providing training, guidance, and support to foster a productive work environment.
